Purpose

Yangebup Knights Junior Ball Club recognises the importance of protecting the privacy and safety of our players while celebrating their achievements and promoting our club activities. This policy outlines how we collect, use, and protect photographs and video recordings of players participating in club activities.

Scope of Media Use

By providing consent during registration, parents/guardians authorise Yangebup Knights Junior Ball Club to use photographs and video recordings of players for the following purposes:

• Club Website: Team photos, action shots, and event coverage on our official website
• Social Media: Facebook, Instagram, and other official club social media platforms
• Promotional Materials: Flyers, banners, and player recruitment materials
• Newsletters: Weekly or monthly club communications to members
• Local Media: Newspaper articles and community publications celebrating team achievements
• Club Presentations: End-of-season presentations, AGMs, and club events
• Training Materials: Coaching resources and educational content
• Grant Applications: Supporting documentation for funding and sponsorship proposals

Privacy & Safety Guidelines

What We DO:

• Use images that portray players in a positive and respectful manner
• Focus on team activities, sportsmanship, and achievements
• Store all media securely with restricted access
• Remove images immediately upon request from parents/guardians
• Use group photos where possible rather than individual portraits

What We DON’T DO:

• Publish full names with individual photos without specific consent
• Share images with third parties for commercial purposes
• Use images that could embarrass or compromise a player’s dignity
• Post photos showing players in distress or injured
• Tag individual players on social media without permission

Important Information

Third-Party Photography

Please note that this policy covers media taken by official club photographers and volunteers. We cannot control photography by:

• Other parents and spectators at public games
• Opposition clubs at away games
• Media outlets covering public events

Duration of Consent

Your consent remains valid for the duration of your child’s involvement with the club unless you notify us otherwise. We recommend reviewing your consent preferences at the start of each season.

Historical Images

Images taken with consent may continue to appear in historical records, yearbooks, and archived materials even after a player leaves the club, unless specifically requested to be removed.

Your Rights

As a parent/guardian, you have the right to:

• Withdraw or modify consent at any time
• Request removal of specific images
• Ask to review images of your child before publication
• Request a copy of images featuring your child
• Lodge a complaint if you believe this policy has been breached
